Policy scope
1.1This policy explains how HVIPS handles personal data associated with its website, client area, orders and support. Read it together with the terms of use and service details.
1.2We distinguish your data as our customer from data you collect from visitors to your hosted website. Responsibilities for processing your project data depend on the service and agreed scope.
Data we collect
2.1Data you provide includes account and contact information such as name, email, phone, address, billing details, orders, tickets and attachments submitted to deliver a service. Additional verification details may be requested where needed, with an explanation of their purpose.
2.2Technical records may include IP address, connection time, browser type, login events, errors and session information needed to operate and protect the service. Do not send sensitive information that is unnecessary for your request.
Why we use data
3.1We use data to create accounts, fulfil orders, verify payments and renewals, provide support, secure services, address abuse, keep necessary records and meet applicable obligations.
3.2We request information appropriate to its purpose. Missing essential details may prevent order fulfilment, verification or handling an account request. Where consent is required for an optional purpose, it is separate from service requirements.
| Data | Purpose | Relevant party |
|---|---|---|
| Account & contact | Orders & support | HVIPS |
| Payment transaction | Collection & reconciliation | Paymob Accept / PayPal / bank or wallet |
| Domain or certificate details | Registration & validation | Registrar or issuer as ordered |
| Technical logs | Operations & security | HVIPS and necessary infrastructure |
Payments & card information
4.1Card payments are processed through Paymob Accept and collected in Egyptian pounds. Cards in other currencies may be used; conversion and fees depend on the bank or payment provider.
4.2HVIPS does not store full card numbers or CVV security codes. We may keep transaction references, payment status and details needed to reconcile invoices. Do not send full card details or security codes by email, ticket or WhatsApp.
4.3PayPal payments are in USD. Bank transfers and electronic wallets are available according to invoice options. We may process sender name, transaction reference, amount, date and payment evidence for verification and reconciliation. Redact unnecessary details from evidence.
When data is shared
5.1We do not sell your personal data. Necessary information may be shared with payment processors, domain registrars, certificate issuers and hosting, infrastructure or support providers according to the requested service. This does not give every provider access to all account data.
5.2Data may be disclosed where legally required, in response to a valid official request, or to investigate fraud or abuse and protect rights. Disclosure scope depends on its purpose and applicable obligations; absolute confidentiality in every circumstance is not promised.
Cookies & local storage
6.1Cookies or local storage may support sign-in, session security and interface or language preferences. Details vary between the website, client area, payment gateways and external services you choose to open.
6.2Browser settings let you control storage. Blocking necessary cookies may disrupt sign-in or checkout. Some identifiers may be personal data when linked to an account or device, so cookies are not universally described as anonymous.
Analytics, tracking & advertising
7.1Under our current confirmed setup, we do not use Google Analytics, Google Tag Manager, Meta Pixel or TikTok Pixel. Their absence does not mean there are no technical logs, session cookies or external-party processing during payments or communications.
7.2If analytics or tracking tools are introduced, disclosures will identify the tool, purpose, data and relevant choices. Where required, consent will be requested before non-essential tracking starts. Possible future use is not advance consent.
Service & marketing messages
8.1Invoices, renewal notices, activation messages, tickets and security alerts relate to operating your account and service. They are distinct from marketing offers.
8.2We do not currently send marketing campaigns by email, SMS or WhatsApp. If introduced, we will explain channels, purpose and subscription or opt-out choices under applicable requirements. Purchasing a service is not automatic consent to every marketing campaign.
Retention, deletion & backups
9.1Data is retained as needed for service delivery, account and invoice administration, disputes and legal or security obligations. Retention varies by record and purpose; no unconfirmed universal period is stated.
9.2Cancelling a service or requesting account deletion does not automatically erase every financial or legal record. We explain request scope and any required retention. Account deletion differs from termination of website files and backups, which follow service and backup scope.
Security & access
10.1We take appropriate technical and organisational measures to protect data, including need-based access restrictions and encrypted connections where available. Complete freedom from risk or security incidents cannot be guaranteed.
10.2Your responsibilities include protecting accounts, passwords and devices and controlling team access. Share only necessary information in support requests, using the access method specified by the team rather than posting secrets in public channels.
Hosted website data
11.1If you host a website or operate a reseller account, you determine what visitor or customer data you collect and why, and provide required disclosures and permissions. The HVIPS policy does not replace your website privacy policy.
11.2Our team may process website data as necessary for hosting, support, migration, management or restoration within authorised scope. Specialist access or additional processing requirements are documented in the work scope.
Processing locations & external services
12.1Data may be processed in different countries depending on the data centre and payment, domain or support service used. Relevant location details are confirmed when selecting a service; we do not promise all data remains in Egypt.
12.2Opening PayPal, a payment gateway, WhatsApp or another external website may involve that provider’s privacy policy. We explain their service role but do not control all external-site practices.
Privacy requests & your rights
13.1Contact us to ask about account data, corrections, a copy or deletion, or to enquire about or object to its use under applicable rights and conditions. Not every request is absolute or available in every circumstance.
13.2Submit requests through WHMCS tickets or info@hvips.com, describing the request and account or service reference if available. Identity and authority checks may be needed before disclosure or changes. Do not send passwords or card details. We explain outcomes and restrictions under applicable requirements.
Policy updates & contact
14.1This page shows its revision and update date. It is updated when processing tools or services change. Material changes are communicated appropriately, with new consents requested where needed.
14.2This is the redesigned site review edition. Send privacy requests to info@hvips.com or by client-area ticket. Do not publish sensitive data in a public form.
